Lost Your SmartEX-Linked IC Card? What to Do Next
Losing a Suica linked to SmartEX does not always mean buying another Shinkansen ticket. The recovery path changes once you enter the Shinkansen gate.
If you lose the Suica, PASMO or ICOCA linked to a SmartEX Shinkansen reservation, first work out whether you have already passed through the Shinkansen ticket gate. Before that point, SmartEX provides alternative boarding methods for the existing booking. After entry, tell staff or the conductor: its lost-card procedure can involve paying again and having the payment checked for a refund. A reservation screenshot alone is not an exit ticket.
Rules checked: October 28, 2026. This guide concerns SmartEX on the Tokaido, Sanyo and Kyushu Shinkansen. It is not a universal rule for JR East Shinkansen e-tickets, rail passes or reseller bookings. It covers recovering the train journey, not replacing the card’s stored balance.
Which side of the gate are you on?
| Your situation | First action |
|---|---|
| Outside the Shinkansen gates, with access to SmartEX | Open the existing booking and choose a supported alternative below |
| Inside a local-train paid area, but not through the Shinkansen gate | Tell local-line staff about the missing card and unfinished local journey as well |
| Already through the Shinkansen gate, including while on the train | Report the loss to staff; use the post-entry procedure |
| Paper Shinkansen tickets already collected | Show those tickets to staff; do not expect an online card change to replace them |
“I have not boarded the train” is not enough to identify the correct branch. SmartEX’s lost-card FAQ draws the boundary at entry through the Shinkansen gate. Tell staff exactly which gates you used, rather than only where you are standing now.
Before Shinkansen entry: use the booking you already have
SmartEX’s before-boarding FAQ offers three alternatives: QR-Ticket, paper-ticket pickup, or changing the registered IC card to another card you have. Start from your paid reservation instead of opening a second purchase.
If using another compatible card, complete the registration or designation change and check the booking before tapping. Merely owning a spare Suica is not enough: SmartEX’s agreement requires the card to be linked to the reservation. Make sure the card you present is the one assigned to that passenger.
This is also why a card replacement and a train booking are separate tasks. Ask the card issuer about the lost card itself; check SmartEX for the boarding method. Do not assume that resolving one automatically resolves the other.
Option 1: display the actual boarding QR-Ticket
In SmartEX, open My Trips → Details → Display QR-Ticket, then select the passenger’s seat. At a direct Shinkansen entrance, use a gate marked for QR boarding. Keep the QR-Ticket for the exit and collect the Seat Information slip issued at entry.
For a group, each seat needs its own QR-Ticket. Passing one person’s code around is not a substitute for displaying the correct passenger’s ticket.
At transfer gates, the local-train fare remains separate. SmartEX’s normal instructions combine the QR-Ticket with the local IC card or paper ticket. If the missing card was also used to enter the local railway, ask staff to settle that journey; the Shinkansen QR does not supply the missing local exit record. For an intact card that simply fails to open a gate, use our separate Suica error guide.
Option 2: collect paper tickets with the pickup code
The pickup code is not the QR-Ticket used to board. SmartEX’s pickup guide requires its pickup code and login password at a compatible machine. The code can be a QR code or a 16-character code; staffed counters require the latter. Keep passwords private and follow the official machine or staff procedure.
Use a designated pickup location, not any machine displaying a general JR logo. The official page lists JR Central, JR West and JR Kyushu locations and specified JR East machines. It also warns that staff may need to check the payment credit card, so a lost wallet can complicate pickup.
Ask before joining a long queue if you cannot obtain the code or lack the payment card. The Japanese FAQ explicitly warns that a reservation-completion screen or confirmation email is not valid for boarding. Allow time to finish collection before boarding.
After Shinkansen entry: get staff involved before exiting
Report the loss to station staff or the conductor. SmartEX directs passengers to repurchase non-discounted tickets with the same journey, train and facilities, marked as lost or repurchased.
At the destination, speak to Shinkansen staff before leaving the gates. With the payment credit card or entry-issued Seat Information, staff can check the reservation and refund tickets validated as repurchased. Keep the marked tickets and ask which payment is being refunded.
The FAQ also describes a later refund of the original reservation, less the normal refund fee, on presenting the repurchased ticket at a JR Central, JR West or JR Kyushu Shinkansen station within one year from the day after loss and reissue. That route requires no exit-use record on the lost IC card. A refund is therefore conditional, not something to promise yourself after discarding the paperwork.
Why topping up another card does not solve this
For SmartEX IC boarding, the Shinkansen purchase is charged to the registered payment credit card, not deducted from the transit card’s stored value. The linked IC card identifies the reservation at the gate. Local-train fares can still use its balance.
The small Seat Information slip records the train and seat but cannot operate entry or exit gates. Keep it anyway: it is useful evidence in the lost-card process. Do not insert it into a ticket slot or throw it away because you still have the app.
If you also want the physical card back, our lost property on trains guide explains how to describe where and when it disappeared. Searching for the card and settling the Shinkansen journey can proceed separately.
What to show staff
Prepare the booking details you can still access: train, date, section, passenger and seat, plus the payment card, Seat Information or paper tickets you retain. Explain whether the loss happened before or after Shinkansen entry and whether a local-train journey is still open.
Do not cancel an in-progress booking, change to a different card after entry or buy an unrelated replacement merely to test the gate. Ask staff to identify the required transaction and keep its evidence. If departure is approaching, tell them the train time immediately.
For future trips, our Shinkansen reservation guide covers choosing and changing a booking. For this problem, the immediate rule is narrower: recover the boarding method before entry; after entry, recover the journey record with staff.
